Before KSeF came into force, one housing cooperative received up to 10 electricity invoices per month. Now she has received 170 items to be booked. Unfortunately, it will not end there – writes “Dziennik Gazeta Prawna” on Monday.

KSeF is giving housing cooperatives and local governments a hard time. The biggest challenges do not result from the idea of e-invoicing itself, but from the lack of uniform standards for issuing invoices. This causes operational chaos for recipients. This is especially visible in the example of housing cooperatives – we read in “DGP”.

Accountants of cooperatives and housing communities are inundated with invoices from utility suppliers. Previously, one invoice included from several to several dozen consumption points, but now the invoices have been issued for individual meters installed in buildings. This is confirmed by Berenika Ratajczak, spokeswoman for Enea. – Adaptation to KSeF requirements resulted in a change in the invoicing method. The settlement for each energy consumption point is registered separately in the system – he explains in “DGP”.

Despite digitalization, are changes entered manually?

This is not the only problem that cooperatives and communities face in Poland today. According to Patrycja Kubiesa, tax advisor at the KiB law firm, one of the energy suppliers places the payment date in a different field than the one normally read by financial and accounting systems. As a result, the term is not automatically downloaded to the accounting system, but must be manually searched for in the file.

And this only applies to invoices for electricity supply. – What will happen if we soon receive invoices from suppliers of other utilities, including heat energy and cold water? – worries the accountant of a small cooperative managing over 40 residential buildings.

All this generates costs. In January, information circulated in the media that one of the housing communities in the Tricity had increased its management fees by over 17%. She indicated the costs of implementing KSeF as one of the reasons for the increase – we read in “DGP”.

Local government officials are also struggling with the problem of multiple invoices. They talked about it on February 25, 2026, during the meeting of the Joint Commission of the Government and Local Government. They appealed to the Ministry of Finance for urgent intervention.

– All these problems have one source; there are no uniform standards regarding the method of issuing invoices – comments Patrycja Kubiesa from the KiB law firm in “DGP”.

– Let's hope that the current problems are only childhood diseases KSeF and over time the market will develop standards. Until then, however, we must be patient and probably prepare for more chaos after April 1 this year. – says Krzysztof Jaros, legal advisor and manager at MDDP, an accounting company. (PAP)
