KSeF and payment for invoices. What has changed for entrepreneurs?


The payment of an invoice in KSeF depends, among others, on: depending on the tool we use. If you use the free KSeF Taxpayer Application provided by the Ministry of Finance, you will not actually pay invoices, e.g. for telephone, electricity or gas, immediately. For example, a bank transfer is necessary.

— KSeF is a state register of e-invoices and is not used to pay them. KSeF, to put it simply, can be compared to a tax office, where in a given window (KSeF API) you leave an application for issuing an invoice (XML file compliant with the FA(3) schema), and after some time you receive confirmation of implementation (assignment of a KSeF number, then an official confirmation of receipt, i.e. UPO) and the buyer and, for example, an accounting office can download the registered documents – says Michał Sosnowski, Business Development Director at Exorigo-Upos. This does not mean that KSeF cannot be expanded to include payment processing in the future, although – as the expert says – the Ministry of Finance refrains from such ideas.

In practice, however, there is also another option to pay invoices in KSeF. We explain what it looks like in telecoms: Orange, Play and Plus, media providers, as well as when you use commercial programs integrated with KSeF.

Can I pay for telecom services via an application or link?

In practice, many service providers, including telecoms and utility providers (electricity, gas), issue invoices in KSeF and then continue to send invoice visualizations by e-mail or application. Payment practices have not changed.

As Wojciech Jabczyński, spokesman for Orange Polska, says, nothing has changed in this respect. — We will send visualizations of invoices issued in KSeF to customers – entrepreneurs by e-mail or on the portal/app. On this basis, the customer can pay for the services as before – says Wojciech Jabczyński.

He adds that the payment methods available to customers for Orange services have also not changed. — These are: bank transfer (own, via post office or other entity accepting payments), e-payments (link or photocode on the invoice visualization, Moje Orange portal), direct debit and standing order – says Wojciech Jabczyński.

It looks similar in Play and Plus.

— Business customers they will still receive the invoice image in PDF format. This document will not constitute an invoice within the meaning of the law, but an invoice visualization. It will be made available under the name “Visualization of Invoice No….” and is intended to ensure convenience and readability for recipients – the Play press office replied to us. This also means that invoices can be paid as before (before the entry into force of the KSeF).

— From February 1, 2026, we issue invoices for companies in KSeF, but at the same time documents with a QR code confirming registration in KSeF are still sent to customers in parallel – the press office of Plus (Polkomtel) explained to us. Also with this operator, entrepreneurs receive visualizations of invoices (with a QR code) and can pay them, e.g. in the application.

Payments look similar for the media. Currently, you can still pay for them, e.g. by logging into the application (e.g. for gas from PGNiG, which recently changed its name to myOrlen). Just click “Pay invoice”.

Can invoices be paid from commercial programs to KSeF?

Entrepreneurs also receive invoices in commercial programs that are connected to KSeF (using the KSeF API). Do programs from commercial suppliers provide a function such as “Pay invoice”?

If a commercial program allowed you to pay an invoice before the introduction of the mandatory KSeF, then after the implementation of the KSeF it will most likely further implements this functionality – says Michał Sosnowski.

The expert explains that KSeF does not force changes in payment practiceswhile the implementation of a uniform document format (structured invoice, i.e. KSeFowa is in the form of an XML file) allows for the automation of invoice circulation.

— In turn, receiving invoice details and items in a structured form, i.e. easy for systems to understand, allows for more accurate verification and confirmation of compliance with the order, delivery, etc., At the end of this chain of events is paymentpotentially automatic – says Michał Sosnowski.

What will change from January 1, 2027 in terms of payments

From January 1, 2027, there will be an obligation to provide the invoice number assigned by KSeF (or a collective payment identifier in the case of paying for more than one invoice with one transfer) in the title of the outgoing transfer. In this way, payments will be linked to the issuance of an invoice in KSeF.

— Providing the KSeF invoice number in the transfer title will be quite a minor change – it is replacing one identifier with another. The bigger change to the systems will be the collective payment identifier – says Michał Sosnowski.
