Invoice, accounting and payment in one place. This is how KSeF works with the bank

The launch of the National e-Invoice System raises many concerns among entrepreneurs. Many of them do not know how to prepare their company for the e-invoicing revolution and meet new requirements resulting from complex regulations. During this difficult time, they can count on the bank's support, which makes their lives easier in the area of payments. ING Bank Śląski is a pioneer in this respect, offering KSeF integration with online banking.


From February 1, the National e-Invoice System (KSeF) will be in force in Poland. Initially, it will cover large enterprises that achieved revenue above PLN 200 million in 2024. From that date, they will have to issue structured invoices. Two months later, on April 1, 2026, the obligation to issue invoices in KSeF will apply to other enterprises. The exception are micro-enterprises. A transitional period is planned for them – until the end of 2026, they will not have to issue e-invoices if their monthly turnover does not exceed PLN 10,000. PLN gross.
It is worth noting that the above deadlines apply to the obligation to issue invoices. As for collecting them, all companies, regardless of size, will have to do it through KSeF from February 1, 2026.

ING Bank Śląski with a unique solution
The closer to the launch of KSeF, the greater are entrepreneurs' concerns regarding its implementation and integration of company systems with it. Many business owners do not have adequate knowledge of this topic and are afraid of making mistakes in this area. Integration with KSeF opens up new possibilities
According to the announcements of the solution's creators, integration with KSeF at ING Bank Śląski has been prepared in such a way that it does not require the entrepreneur to have IT knowledge or perform any implementation activities on the part of the supplier of his accounting services (or accounting software). To run it, simply paste your individual authentication token from the Ministry of Finance website in the appropriate field in your Electronic Banking. Potentially, the only challenge may be to effectively obtain the above-mentioned token, because its generation requires authentication in the ministry's portal using a trusted profile or a qualified certificate, and entrepreneurs are not sure how the ministry's system will react to mass login attempts.
A range of benefits for entrepreneurs
Entrepreneurs using the above integration gain a number of benefits. The first is the ability to view your costs from electronic banking. The company owner does not have to manually enter or import invoices into the system. The bank will automatically download its cost invoices directly from KSeF and display them in the system, provide the possibility of verification and, for example, generate an invoice image or printout.
– The most important benefit, however, is that the entrepreneur will pay the invoice in a very easy but also safe way. He will not have to check whether he made a mistake, e.g. when entering data. He will know that this invoice comes from a safe source, i.e. KSeF. Moreover, he will have greater control over what he pays for, because at this stage he will always be able to visualize the invoice associated with this payment, which will make it easier for him to control the authorization of this payment at the final stage – says Bartosz Traczyk.
Nowadays, small companies typically pay invoices in such a way that the point of contact between the financial and accounting system and electronic banking is a person – most often the entrepreneur himself. All operational activities are therefore performed by the user, who must know when to make a transfer, for what amount, know the account number and what to enter in the payment title. Thanks to the new solution from ING, all this data will be included in the transfer automatically, so both the time needed to pay contractors and the possibility of making mistakes will be reduced to a minimum.
– This is a kind of revolution, because today an entrepreneur comes to the bank as a customer, logs in to banking and performs the activity of copying this instruction, filling in the transfer format based on the invoice data. Thanks to KSeF, we are able to reverse this situation. It is in online banking that the customer will be able to check that he has received an invoice. All this will be provided and the invoice will be able to be paid in a very safe and convenient way with just a few clicks, points out Bartosz Traczyk.
A convenient option available to every company
With the support of the tools offered by the bank, servicing e-invoices becomes simple, fast and completely automated for entrepreneurs. The system ensures compliance with technical requirements, safety and compliance with regulations. In this situation, the entrepreneur can focus on running the business instead of time-consuming formalities.
Importantly, KSeF integration is available to all ING Bank Śląski clients without additional fees. For entrepreneurs, this means saving not only time but also money. In addition, there is the elimination of costs related to printing, shipping and archiving paper invoices.
– It is very important that thanks to the changes related to KSeF, we will enable small companies to operate in a way that has so far been reserved for large entities. If someone runs a large company and conducts accounting using an advanced system, they can already integrate it with banking and thus exchange payment information that is imported from the financial and accounting system to online banking. Now the same convenient option will be available to basically everyone, even to sole proprietorships – emphasizes Bartosz Traczyk.
All documents in one place
Thanks to integration with KSeF, company invoices are automatically imported into the system, which speeds up settlement processes. For the entrepreneur, this means saving time. The bank takes his place in activities where there is always a possibility of making a mistake. The business owner gains peace of mind and will have a full picture of his transactions.
It is worth noting that thanks to integration with KSeF, all documents will be in one place. The entrepreneur's sales and purchase invoices, contractor data and accounting documents will be available in one, transparent panel. The company owner will have constant access to complete data, which will allow easy monitoring of document flow in the company.
Bookkeeping with the bank
ING Bank Śląski has been providing an invoicing program for a long time as part of the ING Accounting service integrated with banking. When issuing an invoice, the entrepreneur chooses whether it should be sent to KSeF. The system collects and saves the KSeF return identification number (UPO) without the need to manually log in to the Ministry of Finance portal.
The ING Accounting program automatically downloads purchase invoices from KSeF directly to the system – there is no need to log in to the Ministry of Finance portal or manually download XML files. This is a significant advantage compared to the ministerial KSeF application, which does not send notifications itself and requires manual downloading of documents.
The entrepreneur can set up automatic shipping and not worry about formalities. If he wants, he can also download them himself at any time.
There are only a few weeks left until the KSeF enters into force. Experts say that this is the last call to take action regarding the integration of company systems with KSeF.
